THEATRE BOOSTER MEETING MINUTES

Meeting called to Order:  12/9/2019 6:35 PM CT

Prior Meeting Minutes Approved:           Nicole Andrews, Mary Ellen Graf

Attendance:       Nicole Andrews, Mary Ellen Graf, Ronnie Bakir, Nathan King, Christine Housour, Lori Kent, Violeta Paunova

President’s Report:  Nicole

50/50 raffle – There is no fee (unless you need rush) an 3 permits allowed per schoolyear, however we must fill form and submit request to village for each production.  Nicole has submitted all required paperwork for remainder of year.  Permit has to have TB President or requestor’s name on the permit with C/O GBN Theatre Boosters.

Faculty Report:  Nathan

Almost Maine information:

  • 64 auditions, 16 cast
  • 102 sign-ups for theatre cast and crew for this production thus far
  • Most produced play in H.S. today, very good script/story that all can relate to
  • Same author as Love/Sick, however this one is set in suburbia

Treasure’s Report:   Violeta

  • Received McAlister’s Deli fundraiser check received/not yet deposited  $117.49
  • Bus check $1,500 provided to Mr. King for Jan 2020 theatre-fest
  • New request funding assistance for Flying apparatus company for Matilda Musical
    • Estimated cost is $4,460, GBN Theatre Boosters had budgeted for $2,500, the difference is $1,960.
    • All present verbally reconfirmed $2,500, and check can be sent to Mr. King whenever needed.
    • We decided to wait to see revenue reported from Almost Maine in Feb from USB/Concessions/50-50, before we make a decision on whether we are able to contribute more than $2,500 currently budgeted.
    • Thus, we will present and obtain vote at Mar. 2nd meeting.

Fundraising:  Tina (not present)

  • Nicole provided Tina’s report in her absence.
  • Tina is in communication with Portillo’s for the next Fundraiser dinner night

Concessions/Dress Rehearsal Brunch:   Lori Kent

  • Twelfth Night Dress Rehearsal was a success.  Many contributed food and we covered dietary restrictions as much as possible.   Plenty of food without an overabundance.
  • Lori will be purchasing a few items for concessions (Twizzlers, Kit Kats, etc) that we are completely out of.  I will purchase/donate better quality water bottles to reduce noise.
  • SignUp Genius will be posted for Aida Performance show in 1/5/2020 concessions.  No 50/50.
  • Almost Maine Dress Rehearsal – 2/8/2020 – plan to add 2 crockpots of soup to normal fair. 

Scholarship:  Violeta

•             After the meeting, Violeta brought scholarship information from last year and explained high level to Mary Ellyn Graf

Membership:  Christine

  • 29 members, 16 premium
  • Mr. Lopez to contact those Mr. King reported as sending in Membership forms, but have yet to send membership fee.

  • Donations button – Violeta to give Brian  routing information for bank account to hook to DONATE button.

Old News:

  • Promo sheet to put in acrylic frame on concession table
  • One Night Only
    • Mr. King to provide food – planning Rocco Vinos
    • Boosters collectively agreed to provide drinks and desserts

2019-10-21 Meeting Minutes

Meeting called to Order:  6:35 by Nicole

Attendance:  Nicole, Violeta, Lori, Barbara, Mary Ellen Graf, Ronnie Bakir, Tina

President’s Report:  Mr. King not in attendance today.  Great start to the year with “Mary Girard”.  It was a small production but went very well. 

Twelfth Night brunch is scheduled for November 9th.  Nicole welcomed Christine Hausour as Membership Chair and Mary Ellen Graf as Scholarship Chair.

Faculty Report:  No faculty in attendance at today’s meeting.

Treasure’s Report:   August End = $6210.27, September End = $8636.17.  Waiting on McAllister check – will be reflected in Oct2019

Fundraising:  Carwash was a huge success, bringing in $1581.  Mary Girard Taffy Apples sold 14/24.  50/50 raffle brought in $109.50

Discussed selling ice cream bars for Matilda – keeping them on dry ice and distributing after performance.

Concessions:    Mary Girard concession = $157.  Concession item purchase = $295.82.  Twelfth Night brunch is Nov 9th.  Lori will send out Sign Up Genius

                after going through dietary restrictions.

Old News: Proposed budget for the 2019 – 2020 school year was voted on and passed.

                All State Rehearsals are looking for additional parent help.

New Business:  THS Officer Chris Thalia, representing the GBN Theatre, presented today requesting Booster assistance with upcoming 2020 Theatre Fest.

                THS is requesting $1500 for bus rental (round trip) for students attending.  Our assistance will save each attending student $42.

                Request was voted on and approved.

2019-8-26 Meeting Minutes

Attendance:  Nicole, Violeta, Lori, Brian, Tina

President’s Report:  Nicole welcomed back returning parents and thanked them.  She welcomed new parents who stayed for the meeting after first Theatre Intro meeting of the year.  Nicole informed attendees that this year’s budget was laid out over the summer and is currently posted on the website for review.  The budget will be voted on at the OCT 21 Booster Meeting.  Nicole gave a very informative speech to new parents how the Boosters operate and appreciate any and all volunteer activity.  She explained attending Booster meetings to share ideas, helping out with concessions and brunches.  All attendees were advised of the open seats on the board.

Faculty Report :  Mr. King updated attendees on the GBM AllState Production – organizing space, food – needing volunteers for meal coordination.  Anyone interested in volunteering should e-mail Mr. King, also SignUpGenius to go out plus a Schoology posting to students.  Student involvement is down 40 heads from this time last year.  Tickets and/or cash for the carwash are extended until 9/30 and due in 1416 mailbox.

Treasure’s Report:   Violeta, starting this year with $5810.27. 

Fundraising:  Welcome Tina to Fundraising chair.  Tina has two fundraisers set at McAllisters.  Looking into Bulldogs, Village Tavern, Lou Malnatis.  Discussed selling taffy apples at concessions for the fall productions;  Provide a paper voucher at purchase and pick-up after the show.  Tina has a vendor offering 24 apples for $19.  Concessions cost of $2 per apple discussed.

Concessions:   Lori discussed concession volunteering and brunches.  Sign Up Genius acct transfer information being reviewed.

Scholarship:  Chair Open

Membership:  Christine Hausour volunteered for this chair.  Welcome Christine!

Web Page:  Brian has revamped the theatre website providing a full detail report.  He has proposed creating a contact link as opposed to contact form.

Website has new content size criteria he will share with Ms. Robin.
